Here, we answer the most common questions from our daily work. The fact that there are many is simply part of the process: Multilingual business involves many aspects that are constantly evolving. That is why we regularly update and expand this FAQ.

We’re sure: Gemino can help you meet all the challenges of multilingual business.  Whether you commission individual projects or are looking for a long-term language service provider with ISO 13485, ISO 9001, and ISO 17100 certification, who thinks in a process-oriented manner, works efficiency, and delivers high-quality linguistic results – we are here for you.

Quality

1Does Gemino have SCHEMA certification? What does that mean?

Yes. Gemino has had SCHEMA certification since 2014 and has renewed its certificate several times. This demonstrates our specialized expertise in working with the SCHEMA ST4 authoring system and its translation interfaces. This includes the integration of translation memory systems, the use of suitable import filters, and optimization through automated translation workflows, among others.
For you, this means: When you work with us, you benefit from a language service provider that is thoroughly familiar with the technical and organizational requirements of SCHEMA ST4. You can efficiently integrate translation processes into your existing editorial environment, reduce manual steps, and create multilingual technical documentation faster, more consistently, and more cost-effectively.

2What qualifications must translators have? And how do they stay up to date?

Professional specialized translators have thorough linguistic training and typically qualify through a relevant university degree and proven experience in their respective fields. Linguistic competence and a deep understanding of the industry, its terminology, and its specific requirements are essential. Their expertise also includes working with current technologies. Their daily routine includes using terminology databases, style guides, and translation memories. They also familiarize themselves with new versions and GUIs of the systems they work with. By combining technology with ongoing collaboration in specific areas of expertise, we ensure long-term consistency in translations and the translators keep up to date with the latest technological developments. When needed, we systematically integrate new terminology, customer specifications, and regulatory requirements into the translation processes.

3Is Gemino certified according to ISO 9001? What does that mean?

Yes. Gemino is certified according to the ISO 9001 standard – the globally recognized standard for quality management systems. This standard ensures that companies consistently align their processes with customer requirements, continuously improve them, and deliver services at a consistently high level of quality. Independent audits regularly verify compliance with the standard.
For you, this means: You benefit from clearly defined, transparent, and continuously optimized processes. At Gemino, ISO 9001 forms the foundation for professional quality management, complemented by modern translation technologies, customized workflows, and many years of experience. This means you receive not only high-quality translations but also reliable, efficient, and transparent project workflows.

4Is Gemino certified according to ISO 13485? What does that mean?

Yes. Gemino is certified according to ISO 13485 – the internationally recognized quality management standard for the medical device industry. Since early 2024, this certification has covered the translation of labeling such as instructions for use (IFUs) and marketing materials for medical devices. The standard follows the requirements of the European Medical Devices Regulation MDR and IVDR and sets particularly stringent requirements for documented processes and risk-based quality management.
For you as a manufacturer or distributor of medical devices, this means: You are working with a language service provider whose processes are aligned with the regulatory requirements of your industry. This makes it easier to manage and verify the compliance of outsourced translation processes within your quality management system. You can be confident that multilingual content is handled according to the same high standards as your other product-related processes.

5Is Gemino certified according to ISO 17100? What does that mean?

Yes. With ISO 17100 certification, Gemino meets the internationally recognized quality standard for translation services. This standard defines requirements for the entire translation process as well as for the qualifications and competence of the translators involved. Key requirements include subjecting translations to revisions and the use of verifiably qualified personnel, among others.
Clients benefit from standardized, transparent translation processes and independently verified quality assurance. This certification forms the foundation for reliable, consistent, and high-quality translations, especially for demanding technical or regulatory content. In addition, we offer modern translation technologies and individually tailored workflows to further enhance quality and efficiency.

6How are translations validated before publication?

The validation process follows the requirements of each project. Depending on the content, the process includes linguistic and technical reviews, automated quality checks, and approval by internal specialty departments or national subsidiaries. This ensures that translations meet the required quality standards for both language and content. The design of an efficient validation process must also fit your internal workflows. We know how to do this. We also have the expertise and the tools for it. Our standardized workflows, the use of translation memories and terminological databases, and the structured involvement of your reviewers make approvals transparent and simplify the documentation of checks and approvals. Corrections are applied permanently. This ensures high translation quality and shortens future review and approval processes.

7How are corrections from national subsidiaries considered over the long term?

Feedback and specialized guidance from target countries are valuable, as they continuously improve translations. The prerequisite is that corrections and additions are recorded in a structured way, evaluated, and permanently integrated into the translation process, rather than being made anew for each project. When approved changes are systematically added to translation memories and terminology databases, they are automatically available for future translations and do not need to be reconciled repeatedly. This improves consistency, reduces the review workload in national subsidiaries, and ensures ongoing quality improvement across all projects. Gemino offers its own solutions for integrating reviews from target countries into your translation processes and file systems, and adapting them specifically to your needs. You can access the platform easily via your browser, while all data protection regulations are fully observed.

8What does revision by another pair of eyes mean in translation?

Revision by another pair of eyes means that a second, equally qualified person reviews every aspect of the translation after it is completed: A specialized translator checks terminology, technical accuracy, completeness, style, and comprehensibility, among other aspects. They will correct any discrepancies before approving the translation.
Revision by another pair of eyes is an integral part of the translation processes in accordance with the ISO 17100 standard, which Gemino meets: We apply it wherever the highest quality standards are required and translations must be linguistically correct, technically precise, and consistent.

9How does a language service provider ensure consistently high translation quality?

Qualified translators, clearly defined quality assurance processes, and the consistent use of language technologies must work in unison to ensure long-term translation quality. Translation memories, terminology databases, and style guides play an important role in keeping technical terms, wording, and language style as consistent as possible across all projects. Gemino ensures that all elements interact so that quality improves, while efficiency and consistency are maintained over many years. We combine these language resources with standardized workflows and revision by another pair of eyes as required by quality standards. In addition, corrections and approvals are systematically added to translation memories and terminological databases.

Software & Systems

1Which content management, editorial, PIM, and MAM systems does Gemino support?

Gemino supports integration with a wide range of systems, including SCHEMA ST4, Adobe Experience Manager (AEM), TYPO3, WordPress, Pimcore, Akeneo, and other content management, PIM, MAM, and authoring systems. Depending on the system, you can use standard interfaces or customize integration. Content for translation can then be sent automatically and, once the process is complete, imported back into the source system.
In addition to standard interfaces, you can also customize integration. Gemino works with you to analyze your existing system landscape and develop translation workflows that fit seamlessly into your processes. You receive an efficient, scalable solution for your multilingual content that reduces manual steps and prevents media discontinuities.

2Acquiring your own translation infrastructure or using that of the language service provider: What are the advantages and disadvantages?

Both approaches are justified. Having your own translation infrastructure gives you maximum control over systems and processes. It is a sensible option if you manage translations mainly in-house and have the necessary personnel and technical resources. However, introducing, administering, and maintaining a translation management system requires effort and incurs costs.
If you want to get started quickly without investing in your own systems, the infrastructure of an experienced language service provider is more suitable. Gemino offers you both options. We provide vendor-independent advice and support you in your search for the most economically and organizationally suitable solution for your needs – whether you want to build your own infrastructure or use Gemino’s translation infrastructure. Our platform offers established workflows, translation memory technology, terminology management, AI-assisted translation processes as well as existing interfaces to content management systems, PIM, editorial systems, and more.

3How can I easily manage my translation orders and track their status?

With Gemino AP, Gemino provides a web-based client portal that allows you to easily submit and manage translation orders. The platform gives you a clear overview of ongoing and completed projects at all times. You can track the processing status and securely exchange documents with your project team.

4Does Gemino offer a platform for AI translation?

Yes. With Gemino TP, Gemino offers a cloud-based translation platform that integrates AI-powered translations into a professional translation process. Depending on your requirements, we can translate content entirely with AI, have it post-edited by qualified professional translators, or have it translated fully by human experts in the traditional way. Gemino TP combines AI with translation memories, terminology management, and structured approval processes. The platform enables collaboration among all stakeholders and gives you a centralized overview of projects, language resources, and translation jobs. For each use case, you can choose the appropriate workflow to benefit from fast processes, consistent results, and a secure, scalable solution for multilingual communication.

5Can Gemino support you in selecting a translation management system?

Yes. Gemino can provide you with support in selecting a translation management system. The selection should be informed by your processes, your system landscape, and your requirements – not just by the software’s range of functions. You also have to consider existing content management systems or PIM systems, the degree of automation, terminology management, AI integration, and future scalability.
To that end, we analyze your requirements and then select the appropriate solution together with you. We have many years of experience with various translation management systems and can advise you independently of the manufacturer. We are also happy to provide you with support with the implementation, integration, and optimization of your translation processes. This ensures that the selected system facilitates your workflows efficiently over the long term.

6Can Gemino provide support to select a translation memory system?

Yes. Gemino helps you find the right solution for your requirements and, if necessary, import, consolidate, or clean up your existing translation memories. A translation management system forms the basis for consistent translation processes, lower translation costs, and the reuse of your language resources for years to come. When selecting a system, it is important that the translation memories integrate seamlessly into your existing systems and workflows and can be used over the long term. This applies whether in combination with terminology management or in AI-assisted translation processes.

7What is the difference between a translation management system and a translation memory system?

A translation memory system stores previously translated text segments and automatically suggests them for similar or identical content. The main goal is to keep translations consistent, shorten turnaround times, and reduce costs. Translation management systems go much further: You manage the entire translation process – from project management and system integrations to workflows, as well as the integration of translation memories, terminology databases, AI translation, and approval processes. The goal is a seamless translation workflow that brings together quality, efficiency, and automation in the best possible way. Gemino can support you in the selection and implementation of the right solution and integrate it into your existing systems and processes.

8How is a translation interface implemented?

The process starts with an analysis of your existing system landscape and translation processes. Next, the language service provider and the client jointly decide which content will be transferred automatically and how best to integrate the interface into your workflows. Once the technical setup and configuration have been tested, the automated translation process can begin. When translation memories, terminology databases, and approval processes are seamlessly integrated, you benefit from an efficient, reliable translation workflow that reduces manual effort and can be flexibly adapted to future requirements. If you need assistance with this: Gemino supports you throughout the entire onboarding process – from consultation and technical integration to go-live.

9What advantages do interfaces between our systems and those of a language service provider offer?

These interfaces automate data exchange and remove the need for manual steps. You can send content directly from your content management system, PIM, or authoring system for translation and receive it automatically after processing. This saves time, reduces sources of error, and accelerates the entire translation process.
Clients whose enterprise systems are connected to ours benefit from shorter turnaround times, higher data quality, and consistent translations without having to fundamentally change their existing workflows. Everything takes place within a seamless process that also integrates translation memories, terminology databases, and – when needed – AI-powered translation workflows.

10Does Gemino support automated translation workflows?

Yes. Our key advantage: Our automated translation workflows adapt to your existing processes and systems. You can send content directly from content management systems, PIM, or authoring systems for translation and have it automatically returned once the translation process is complete. This reduces manual steps, shortens lead times, and minimizes sources of error. Automation extends far beyond simple data transfer. We combine system integrations with translation memories, terminology management, and – depending on your requirements – AI-powered translation workflows. This creates a streamlined, efficient process that meets the highest quality standards and fulfills your need for quick turnaround times and cost-effective translation.

11Can Gemino be integrated into your existing content management system or PIM system?

Yes. We support integration with a wide range of content management systems, PIM, authoring, and other content systems. Using suitable interfaces, you can automatically submit content for translation and have it returned to your system once the translation process is complete. This reduces manual steps, minimizes sources of error, and accelerates the entire translation process.
Together with you, we determine which integration option is best suited for your system landscape. The goal is to provide an efficient and scalable solution for your multilingual content. We achieve this through a streamlined translation workflow that seamlessly integrates translation memories, terminology management, and – when needed – AI-powered translation processes into your existing operations.

Marketing & Internationalization

1What options are available for translating marketing content?

There are various translation approaches for marketing content, as with all text types, depending on your objectives, target audience, and quality requirements. For example, a traditional technical translation aims to convey the content as precisely as possible. In contrast, when translating marketing texts, you tend to consider the linguistic and cultural characteristics of the target market and adapt the content more freely. For particularly creative or emotional content, such as campaigns, slogans, or ad copy, transcreation may be appropriate in some cases, with the message reformulated for the specific market.
Gemino supports you in selecting the right workflow and, when needed, combines modern AI technologies with the marketing expertise of experienced translators. By using terminology management, style guides, and translation memories, your corporate language and brand message stay consistent across all languages. This approach creates multilingual marketing content that engages your target audiences worldwide and strengthens your brand.

2Can Gemino support you in selecting product names for different countries?

Yes. Companies need a solid basis for deciding whether their product names are suitable for their international brand presence. A product name that works well in one market may evoke undesirable associations or be difficult to understand in another. It is advisable to have new product names reviewed linguistically and culturally before their international launch.
Gemino supports you with the international evaluation of product names by experts who are native speakers. We review pronunciation, comprehensibility, possible cultural and linguistic associations or misunderstandings, and suitability for the respective target market. However, the client company must commission a legal review of trademark and naming rights, for example with legal or trademark experts.

3Is AI suitable for translating videos?

Yes. Artificial intelligence opens up new possibilities for video localization. It can be used for translation, speech synthesis, subtitle creation, and AI-powered dubbing (including lip-sync). This allows you to create multilingual video content much faster and more cost-effectively than with purely traditional methods. Our experienced team understands when it makes sense to use AI and harnesses it where it delivers real added value. Depending on your requirements, translators take care of the linguistic revision and quality assurance of AI-generated content. This way, you benefit from efficient video localization without compromising comprehensibility, natural language, or brand impact.

4Does Gemino also translate videos, and if so, what options are available?

Yes. Gemino supports you with multilingual video localization – from traditional subtitling to voiceover and dubbing, as well as modern AI-powered solutions. Together, we select the appropriate workflow based on your quality requirements, intended use, and budget.
For particularly efficient localization projects, Gemino also offers AI-powered speech synthesis and lip-sync technologies. In this process, spoken content is translated into the target language, and AI adapts the lip movements of the people in the video to the new language. Experienced translators can review and optimize all AI-assisted processes if needed. This creates multilingual videos that sound natural and impress in terms of both quality and cost-effectiveness.

5How can a language service provider support your international brand presence?

A professional language service provider ensures that your brand communicates with a consistent voice worldwide. This includes consistent terminology, a coordinated corporate language, and the linguistic and cultural adaptation of content for each target market. This ensures that brand values and messages remain recognizable and persuasive across all languages and channels.
At Gemino, we take a holistic approach: We combine terminology management, style guides, translation memories, and – depending on your requirements – localization or transcreation. This creates multilingual content that strengthens your brand identity, meets local expectations, and remains consistent worldwide. Whether it’s websites, campaigns, product information, or technical documentation, we orchestrate the multilingual aspect of your brand presence to ensure a successful rollout.

6Can a language service provider offer linguistic support for international campaigns?

Yes. A professional language service provider can support international campaigns with more than translations alone. The aim is to adapt messages for each target market so that they are convincing linguistically, culturally, and in terms of brand. Depending on the campaign, translation, localization, or transcreation may be used.
Gemino supports international marketing campaigns from planning through to implementation. By using native-speaker marketing translators, central terminology management, and clear style guides, we ensure that your corporate language and brand message remain consistent in all target markets. In this way, we ensure strong brand recognition and address your target audience appropriately in every market.

7What is the difference between translation and transcreation?

In translation, the focus is on transferring a text into another language as accurately and technically correctly as possible. The goal is to render the content and message precisely and as faithfully as possible to the original.
Transcreation goes a step further: Here, the content is adapted to the linguistic and cultural context so that the message has a comparable impact in the target market as in the original. This applies, for example, to creative advertising messages, slogans, or ad copy, where emotions, cultural particularities, and brand identity play a decisive role in their effectiveness.
While technical or regulatory content requires precise translation, marketing and communication content often benefit from transcreation. Gemino assists you with the selection of the right approach so that your messages engage each target audience both linguistically and culturally.

8How is marketing copy adapted for different target markets?

Language, cultural specifics, local expectations, and industry practices all vary from market to market. Successful international marketing requires more than a direct translation. Marketing copy should be adapted linguistically, culturally, and in terms of your brand message to achieve the same impact as the original. This is the only way for your content to remain consistent worldwide and to appear authentic and convincing in every target market. To achieve this, Gemino utilizes customized localization and transcreation processes as well as native-speaker translators who specialize in marketing and live in the target countries. We take the tone of your communication and the linguistic characteristics of specific target groups into account as well as local market requirements and your corporate language.

Collaboration

1Does Gemino also provide interpreting services?

Yes. Interpreting services are part of our portfolio. Gemino supports you in selecting the right type of interpreting for your event or area of application. Depending on your requirements, we use simultaneous, consecutive, or whispered interpreting. We also advise you on selecting the right interpreting technology and on organizational planning.
As with our translation services, we set great store on finding the right solution for your individual requirements – whether on-site or online. Together with you, we clarify the scope of application for the required language combinations. Next, we set up the organizational framework to ensure smooth communication.

2Can we engage preferred translators on a permanent basis?

Yes. Whenever possible, Gemino assigns the same qualified professional translators to your projects. They already know your products, your terminology, your corporate language, and your internal requirements, so they can work with particular efficiency and consistency.
In addition, we use translation memories, terminology databases, style guides, and documented processes to ensure your linguistic standards are maintained in the long term. This ensures the quality of your translations remains consistent, even when the project team expands or substitutes need to take over a project.

3How do we involve our internal reviewers in the process?

Reviews are an important part of the professional translation process. The expertise and product knowledge of your reviewers help validate translations and ensure company-specific requirements are met. The review processes should be part of the workflow and structured so that corrections are implemented efficiently and unnecessary feedback loops are avoided.
Gemino involves your specialty departments, product managers, national subsidiaries, and distribution partners in the approval process to ensure reviews are conducted transparently and changes are documented clearly and traceably. After approval, we apply corrections directly to the translation memories and terminology databases. These updates can then be automatically considered in future projects.

4Can we use our own glossaries and style guides?

Yes. Your glossaries, terminology lists, and style guides can be seamlessly integrated into the translation process. They provide an important foundation to ensure that technical terms, spellings, tone, and corporate language are implemented consistently across all languages. To keep your corporate language consistent across all markets, projects, and communication channels, we integrate your existing language resources into translation memories, terminology databases, and translation workflows. If these resources do not exist yet, we support you in developing and continuously maintaining your glossaries and style guides.

5Does Gemino work exclusively with native-speaker translators?

Yes. For professional translations, we always use qualified specialist translators who translate into their native language and permanently reside in the target country. They have the linguistic competence and in-depth expertise to achieve the desired results for the pertinent industries and subject areas: natural language, technical precision, and communication tailored to your target group.
Depending on the project, standardized quality processes, terminology management, and translation memories support the translations. Where appropriate, we also use artificial intelligence. Combining the expertise of native-speaker translators with modern technologies is, in many cases, the most efficient way to achieve high-quality, consistent translation results.

6In which fields or industries does Gemino specialize?

Gemino specializes in the translation and localization of complex specialized content. Our expertise, our focus on technology, and our ability to implement smart workflows even in particularly demanding industries and setups make us an attractive partner for life sciences, medical technology, and technical documentation. Here, the highest standards for quality, terminology, and regulatory compliance apply. Technology-oriented companies from other industries also benefit from our expertise.

7What are Gemino’s core competencies? What services do we offer?

Gemino supports companies in all aspects of process management for content internationalization – from planning and implementation to productive operation and optimization. We call this multilingual content orchestration. Our range of services includes specialized translations, localization, terminology management, translation memories, AI-assisted translation workflows, software, and video localization, as well as desktop publishing (DTP). We also advise companies on digitalizing and automating their translation processes and support integration into existing content management systems, PIM, MAM, and authoring systems.
We place a particular focus on the end-to-end process. We look at more than just the translation itself. We consider the entire process – from content creation, through system integrations and approval workflows, to the delivery of multilingual content. We transform workflows into smart workflows: Together with our clients, we develop efficient, scalable, and future-proof translation solutions that combine quality, technology, and cost-effectiveness in the best possible way. This is our core competency.

Data security

1How does Gemino handle confidential development documents?

At Gemino, we treat confidential development documents and critical, project-relevant information with particular care. Only directly involved individuals have access, and solely within the scope of the respective translation project. We use processes compliant with data protection provisions and implement technical and organizational measures to safeguard your information.
Upon request, Gemino can sign additional nondisclosure agreements (NDAs) and take project-specific security and compliance requirements into account. When implementing AI-powered workflows, we ensure that we only use solutions that meet the required and agreed-upon standards for data protection and confidentiality. You can rest assured that we will handle sensitive development documents professionally and responsibly.

2How does Gemino ensure that your information remains confidential?

Protecting confidential information is a core element of our collaboration with you. All Gemino employees as well as external language experts and partners assigned to your project are bound by confidentiality and process your documents exclusively within the scope of the respective project.
At the same time, we follow clearly defined processes and implement appropriate technical and organizational measures to protect your data. Upon request, we enter into project-specific nondisclosure agreements (NDAs) and take your individual security requirements into account. You can be certain: At Gemino, we handle sensitive information responsibly and confidentially.

3How are confidential documents transmitted?

Confidential documents may only be exchanged through secure and traceable transmission channels. Depending on the project and your requirements, we use solutions such as secure customer portals, encrypted file transfers, or other agreed procedures. This ensures that only authorized individuals can access your data.
Gemino meets your security and compliance requirements and implements processes that adhere to data protection requirements as well as appropriate technical and organizational measures to protect confidential information. Upon request, we sign additional specific nondisclosure agreements (NDAs) and take your individual security requirements into account.

4Where is our data processed and stored?

Gemino processes your data in compliance with data protection regulations and exclusively for the agreed-upon services. The specific location where data is stored and processed depends on the systems used and the selected translation workflow. Gemino consistently implements appropriate technical and organizational measures to protect your data and meets the requirements of GDPR.
If your project has specific requirements for storage location or data processing – such as processing exclusively within the EU or the use of certain AI solutions – Gemino takes these into account when selecting the employed systems and coordinates the appropriate workflow with you. This ensures that your solution meets both your data protection and compliance requirements as well as your quality standards.

5How secure is your data with Gemino?

At Gemino, protecting your data is our highest priority. We process and store confidential documents and information exclusively within the scope of the agreed translation project. Gemino uses secure transmission channels, clearly defined access permissions, and processes compliant with the data protection provisions of GDPR. Upon request, we are happy to sign pertinent nondisclosure agreements (NDAs) with you.
Standardized quality processes, targeted use of suitable translation technologies, and responsible handling of AI ensure that your data remains protected at all times. In AI-assisted translation workflows, we use only solutions that meet the requirements for data protection and confidentiality. You can rest assured that we will handle your sensitive documents professionally and responsibly.

TM & Terminology

1When is it worth investing in terminology management?

The more complex your products and technical content are, the greater the benefit of consistent terminology. It increases consistency, reduces correction cycles, and accelerates translation and approval processes. This is especially true when you regularly create multilingual content or when multiple departments, locations, and external service providers are involved in corporate communication. Gemino helps you make the most of your investment in terminology management. We handle the setup and maintenance of a central terminological database and integrate it into your translation processes and AI-driven workflows. In this way, terminology becomes a long-term corporate resource that improves the quality of your communication, lowers translation costs, and sustainably reduces the workload for everyone involved.

2How can you implement corporate language and corporate terminology consistently worldwide?

Consistent corporate language and corporate terminology require clear linguistic guidelines, centrally maintained terminology, and standardized translation processes. At Gemino, we achieve this by developing style guides, setting up terminological databases, and integrating translation memories into our smart workflows. We provide you with assistance to establish your terminology and language standards company-wide and integrate them into your translation processes. We use the latest translation technologies and, where appropriate, AI-powered workflows. The result: Your brand message, technical terms, and spelling are consistent across all languages. This applies across all markets, channels, and content types, regardless of who creates or translates the content.

3Are there tools for company-wide access to terminology?

Yes. Modern terminology management systems allow you to centrally manage specialized terms and make them available throughout the company. Employees from marketing, technical writing, and product management can access approved terms, definitions, and translations from international subsidiaries at any time. This ensures consistent communication and reduces follow-up questions and corrections. Gemino offers its customers a proprietary software solution that is precisely tailored to their requirements and specifications and can be tested with minimal effort. The tool integrates into your existing systems and, depending on your requirements, connects to the relevant translation management system, authoring system, or other enterprise applications – regardless of whether you use human translations, AI-assisted translation workflows, or both. After a brief introduction, your employees can use the tool and experience the benefits of a company-wide terminology management system firsthand.

4How can terminology be made available throughout the company?

To ensure terminology delivers its full benefit, it should be centrally maintained and accessible to all relevant employees – from marketing and technical writing to product management, international subsidiaries, and external translation partners. This ensures that everyone involved uses the same technical terms and product names, regardless of language or department. Gemino provides consulting and solutions for this purpose. We support you in introducing centralized terminology management and integrating it into your existing processes and systems. Depending on your needs, terminology can be provided via terminology platforms, translation systems, or interfaces, and made available for human translations and AI-assisted workflows. This increases the consistency of your corporate communication and reduces the coordination effort over the long term.

5How can you standardize the differing terminologies of various corporate divisions?

Different terms for the same products or topics arise when departments, locations, or national subsidiaries work independently. Company-wide standardized terminology provides clarity: It ensures consistent communication, simplifies translations, and reduces correction cycles. In practice, you achieve this by consistently using a terminological database. We integrate terminology into translation processes, translation memories, and AI-powered workflows so that everyone benefits from a consistent corporate language – regardless of department, language, or target market. If you are interested in a central terminological database: Please contact us. Gemino supports you in selecting, building, and defining binding terms together with the relevant departments.

6Can existing translation memories be imported?

Yes. In most cases, you can easily import existing translation memories and integrate them into your current or new translation processes. This way, you retain existing translations and can continue to use them in the future. This also applies if you change your language service provider or translation system.
In both cases, Gemino assists you with the transfer, review, and consolidation of existing translation memories. We consolidate data sets, remove outdated entries, and integrate them into modern translation and AI workflows. In every case, you benefit from your previous investments and establish the foundation for consistent, efficient, and high-quality translations.

7Who owns translation memories and terminological databases?

As a rule, the translation memories and terminological databases should belong to the company that creates them as part of its translation projects. They reflect your company-specific expertise, product terminology, and linguistic standards, and form a valuable part of your intellectual property.
Gemino works transparently with these language resources and supports you in building and further developing your translation memories and terminology over the long term. This ensures that your language data remains available even if you change service providers or systems, and you can continue to use it in future projects and AI-powered translation workflows. In this way, you protect your investments and maintain the consistency of your multilingual communication.

8What is a translation memory and what advantages does it offer?

A translation memory (TM) is a database that stores translated text segments. If identical or similar content appears again in later projects, you can automatically reuse it. This means you do not need to translate recurring texts multiple times.
Using translation memories offers numerous advantages: Translations become more consistent, turnaround times are shorter, and translation costs decrease – especially for technical documentation, product information, or regularly updated content. Gemino integrates translation memories into all suitable translation workflows and, when needed, combines them with terminology management and AI. The advantages are clear: You benefit from greater efficiency, consistent quality, and permanent access to previously created translations.

9How important is terminology work, and how can you carry it out efficiently?

Consistent terminology forms the basis for coherent and high-quality translations. This allows you to use technical terms, product names, and brand-specific wording consistently in all languages. This reduces follow-up questions, simplifies approvals, and improves clarity, especially for technical documentation and regulated content. That is why Gemino provides you with support in building, maintaining, and using a company-wide centrally managed terminological database, accessible to all specialty departments and language service providers – even at national subsidiaries. We integrate your terminology into translation processes and AI-powered workflows so that translation quality continuously improves and the need for proofreading decreases over the long term.

Project Management

1Does Gemino support international rollouts?

Yes. Gemino assists companies with the linguistic aspects of international product and content rollouts. We coordinate translation into multiple target languages, align deadlines and workflows, and ensure that multilingual content is delivered on time and with consistent quality.
You benefit from standardized translation processes, central terminology management, translation memories, and – depending on your requirements – automated workflows and AI-assisted translation. This enables you to manage even complex international rollouts with many languages and stakeholders efficiently. Your dedicated point of contact at Gemino coordinates the entire translation process and ensures that all parties work together effectively, so your market launch can proceed as planned.

2How can you keep track of multiple projects?

When managing a large number of translation projects, transparency and structured processes are essential. A central project portal, clear workflows, and standardized administration help you keep track of the processing status of your orders and meet deadlines reliably.
With our order portal Gemino AP, you always have an overview of your translation projects. Through the portal, you can place orders, track their current processing status, and access project-related information. With a dedicated point of contact, standardized processes, and centrally managed language resources, you can efficiently manage many projects at the same time – even with numerous languages, products, and international teams.

3How are rush orders handled?

To maintain high translation quality even under tight deadlines, we prioritize rush orders and plan them individually. To reduce processing time, we can assign several qualified translators to work in parallel. Additionally, depending on the scope and requirements, we can use technology such as AI-powered workflows. At Gemino, we review each express order individually and coordinate the optimal process with you. This ensures that we meet your desired delivery date as closely as possible while also maintaining the required quality standards. In this way, we find reliable and timely solutions for projects with tight deadlines, without compromising quality or consistency.

4How quickly can translation projects begin?

Many translation projects can start at short notice, often on the same business day. The speed depends, among other factors, on the volume and nature of the data.
Gemino uses efficient project processes and modern translation technologies. Our teams are well-coordinated and have experience with time-sensitive assignments. This enables us to accept and process inquiries quickly and to carry out time-sensitive projects reliably. We are happy to coordinate the schedule for your project with you and, even for rush orders, to find the optimal solution for your requirements.

5Will I have a dedicated contact person at Gemino?

Yes. At Gemino, you have a dedicated contact person who understands your projects, processes, and requirements and provides you with personal support. You benefit from short lines of communication, quick coordination, and a project manager who is familiar with your quality requirements and internal processes, as they coordinate the entire translation process: They accept your order, manage the project, and ensure timely delivery. They work closely with our network of translators and the relevant departments. This creates efficient workflows, high transparency, and a reliable, long-term partnership.

6In which formats or systems can you provide the content to be translated?

Gemino processes a wide range of common file formats, including Microsoft 365 (Word, Excel, PowerPoint), Adobe InDesign, XML, XLIFF, HTML, JSON, CSV, software resource files, as well as content from content management systems, PIM, and authoring systems.
In each case, we find the most efficient way to incorporate your content in the translation process.
If possible, we transfer the content directly from your source system via an interface or an automated workflow. This approach preserves formatting and structures, reduces manual steps, and makes the entire translation process faster and more efficient. We would be happy to advise you on the import method best suited to your system landscape.

Cost-Effectiveness

1Can you increase savings potential by combining translation memories and AI?

Yes. Translation memories and AI work together very effectively: Translation memories contain content that has already been used and, in some cases, approved. This content can be reused directly. This ensures maximum consistency and supports the AI as it translates new content. As a result, the editing time for revising AI translations is reduced. In this way, you make optimal use of your existing language resources and need to retranslate less text. Gemino combines translation memory, terminology management, and AI in smart translation workflows. This allows you to benefit fully from lower translation costs, shorter turnaround times, and consistently high quality. At the same time, your previous investments in translation memory and terminology are preserved and further enhanced through the targeted use of AI. This creates an economical translation process that grows with your requirements and your content.

2Why is the cheapest translation not always the most economical solution?

A low translation price provides little insight into the total costs. Incorrect or inconsistent translations often require extensive corrections, and approval processes take longer. Misunderstandings can also occur, which require further revisions. These subsequent processes generate additional costs. If translation memories, terminology management, or structured workflows are missing, you lose valuable language resources and must repeatedly translate the same content.
Gemino takes a holistic approach: We optimize not only the translation but also the entire translation process. The targeted use of translation memories, terminology management, suitable AI workflows, and standardized quality processes lowers overall costs in the long term, increases the consistency of translations, and ensures more efficient workflows. If you invest not only in individual translations but also in a sustainable and cost-effective translation process, you will save more in the long term.

3How can you reduce translation costs over the long term?

Standardized processes and the consistent reuse of previously translated content are the most effective ways to reduce costs. Translation memories, terminology management, and structured source texts prevent duplicate work and ensure that identical or similar content does not need to be translated multiple times. Connecting to content management systems, PIM, or authoring systems can also significantly reduce manual effort.
Gemino not only considers the individual translation but also the entire translation process. By using translation memories, terminology databases, AI-supported workflows, and automated processes, we help you keep your translation costs sustainably low – without compromising on quality, consistency, or compliance. This way, you benefit over the long term from more efficient processes and optimal use of your existing language resources.

4What does a translation cost?

The cost of a translation depends on various factors. These include the language combination, domain, scope, and desired delivery date. If quality control and editing processes are required, additional costs may apply. Using translation memories or AI-powered workflows, on the other hand, can have a positive impact on the price.
We want you to pay only for the service your project actually needs. That is why Gemino prepares an individual quotation for each project, tailored to your requirements. Together, we will select the translation workflow that offers the optimal balance of quality, speed, and cost – from traditional human translation to AI-assisted processes with varying levels of human quality control.

Technical Documentation

1We would like to localize the user interface of a software application. How can a language service provider support us with this?

Software localization involves much more than simply translating the user interface. Menu texts, dialogues, error messages, and help texts must be linguistically precise, consistent, and tailored to the expectations of users in the respective target market. At the same time, you must consider technical requirements such as character limits, placeholders, or variables.
As a language service provider, we support the localization of software with experienced language experts, terminology management, and modern translation technologies. By integrating with your development and localization processes and using translation memories and, depending on your requirements, AI-powered workflows – we deliver consistently translated, easy-to-understand user interfaces in multiple languages that meet your brand and quality standards.

2How can you translate recurring documentation particularly efficiently?

To translate recurring documentation efficiently, only the content that has actually changed is processed. Computer-aided translation tools use translation memories to identify previously translated or similar text passages and automatically suggest them for reuse. By adding terminology management and structured content, you can continuously improve consistency, quality, and cost-effectiveness.
Gemino combines these technologies with automated translation workflows, while also integrating them into authoring systems. This allows you to process updated documentation quickly and efficiently, without reworking content that has already been translated. This shortens lead times, reduces translation costs, and ensures consistent multilingual documentation across many product generations.

3How is XML-based content translated?

XML-based content is structured and translated independently of format. The XML structure, tags, and metadata remain intact, and only the actual text content is translated. This allows you to import documents back into the authoring system after translation without extensive post-editing.
Gemino has extensive experience with XML-based authoring systems. We support the translation of structured content from systems such as SCHEMA ST4. By using translation memories, terminology management, and automated translation workflows, we efficiently reuse recurring content and ensure consistent translations. This reduces costs, shortens lead times, and ensures high quality for your technical documentation.

4Can you process SCHEMA ST4 projects directly?

Yes. As a SCHEMA-certified language service provider, Gemino has extensive experience with structured XML content and SCHEMA translation operations. We process SCHEMA ST4 projects directly and integrate them into your existing translation processes. This enables you to export content for translation and import it back into your authoring system efficiently, without unnecessary manual steps.
By combining translation memories, terminology management, and, where appropriate, AI-powered translation workflows, we deliver consistent and cost-effective translations. You benefit from a seamless process that maximizes the reuse of previously translated content, reduces maintenance effort, and efficiently prepares your technical documentation for international markets.

5Does Gemino also provide foreign-language typesetting or desktop publishing (DTP)?

Yes. Gemino offers professional foreign-language typesetting (desktop publishing, DTP) for a wide range of file formats and layout programs. Translated content is integrated into the original layout to ensure that design, formatting, and readability are maintained in the target language. We offer this service for brochures, user manuals, data sheets, marketing materials, and more.
Our specialized DTP team considers language-specific features and differences, such as text length, writing direction, or fonts, and prepares the documents for printing or publication. You receive multilingual documents that meet the highest standards for both language and visual presentation.

6How can a language service provider support you with the translation of technical documentation?

A professional language service provider like Gemino supports you far beyond the translation of technical content. In addition to precise technical translations – structured processes, terminology management, translation memories, and modern translation technologies ensure consistent results, short turnaround times, and cost-effective reuse of previously translated content. This is particularly relevant for multilingual technical documentation, including user manuals, service documents, online help, or XML-based content. Through the integration into existing editorial and translation systems and by deploying tailored human and AI workflows, we create efficient, scalable translation processes that meet high quality and compliance requirements.

Translation Strategy & Processes

1Is it worthwhile to analyze existing translation processes for potential improvements?

Yes. In many companies, existing translation processes have developed over the years. These processes are often shaped by the different approaches of individual departments and by data that must be exchanged laboriously between various systems and formats – often still involving manual steps. A professional analysis shows where you lose time, incur unnecessary costs, or leave quality potential untapped.
Gemino conducts these analyses for you. We examine not only the translation itself but the entire process, including content creation, system integrations, and approvals. This also includes evaluating how translation memories, terminology management, and AI can be used most effectively. Based on this, we work with you to develop an efficient, scalable translation process that meets your quality requirements and technical infrastructure. This often enables you to shorten lead times, reduce costs, increase quality, and improve consistency in a sustainable way.

2How can a language service provider ensure that translations remain consistent over many years?

Consistency results from a systematic approach at the process level. The continuous use and ongoing maintenance of translation memories, together with defined quality processes and binding style guides, are crucial. This foundation allows you to use translated content, technical terms, and formulations consistently for years. As a result, your translations remain consistent, efficient, and brand-compliant, even as products and stakeholders change. Gemino complements these language resources with long-term, supervised translation processes and modern translation technologies. We incorporate changes from reviews into translation memories and terminological databases, making them automatically available for future projects.

3How can you improve collaboration between marketing, technical writing, and national subsidiaries?

Successful collaboration starts with a shared translation process and clearly defined responsibilities. Even if marketing, technical writing, and national subsidiaries have different content requirements, everyone should have access to the same terminological databases, style guides, and translation memories. This ensures consistent translations and eliminates the need for repeated corrections.
To achieve this, Gemino establishes central translation and approval processes and connects the involved teams through suitable platforms and system interfaces. National subsidiaries can contribute their local expertise in a targeted manner, while changes are documented centrally and incorporated into future projects. This simplifies coordination, accelerates approvals, and ensures consistent communication across all markets.

4How can you simplify the coordination of multilingual projects?

One effective way to simplify content alignment is to standardize translation processes and manage them centrally. You should establish clear responsibilities, define an approval process, and use shared terminology and translation memories. This prevents follow-up questions, duplicate corrections, and inconsistent translations. When all parties in the specialty departments and at national subsidiaries are on the same page, the entire translation process becomes faster. Your teams’ workload is eased, and consistency also improves. To achieve this, Gemino uses end-to-end translation workflows and modern translation platforms. You can also integrate existing systems such as content management systems (CMS), PIM, or editorial systems. Changes are managed centrally and automatically made available for future projects.

5How can you efficiently integrate international teams into the translation process?

You should involve international teams where their local expertise provides the greatest added value. This also applies to the professional review, approval, or evaluation of marketing messages. Clear roles, defined review processes, and a central platform ensure that all parties work together efficiently and that changes remain transparently traceable. At Gemino, we achieve this through structured, technically supported approval processes. We also use central terminological databases, translation memories, and integrated translation platforms. When all parties have access to the same data, work can be coordinated more easily. Conflicts arising from changes can be identified more effectively. Integrating international teams into workflows makes many processes more efficient and improves translation consistency across all markets.

6Why is it advisable to involve product and subject-matter experts from the target markets in the translation process?

Employees in the target markets have a different perspective: They often know the local requirements, the specialized terminology preferred within the company, and the users’ expectations better than any external party. Your feedback helps us produce translations that are technically accurate, clear, and aligned with market expectations. This becomes especially valuable for technically demanding or regulatorily relevant content. To keep this collaboration efficient, you should involve local experts directly in the review process, without creating unnecessary feedback loops. Gemino knows how to do this. You benefit from structured approval processes, centralized terminology management, and tools that integrate reviews seamlessly into workflows. Under these conditions, you can document changes in a traceable manner and permanently incorporate them into translation memory and terminological databases.

7How can you optimize existing translation processes?

The first step is to analyze the current process: Where do delays, duplicate work, or unnecessary manual steps arise? You can often significantly reduce turnaround times and costs by using translation memory, terminology management, automated system integrations, and suitable AI workflows. Gemino has over 30 years of experience in designing and optimizing translation processes.
After a comprehensive analysis of your existing translation processes, we will work with you to develop a solution that meets your quality requirements, your system landscape, and your workflows. Our goal: highly efficient translations within a seamless, scalable end-to-end process, from order creation to final approval. With every publication, you benefit from consistent quality, greater process reliability, and sustained relief for your teams.

8When is it beneficial to centralize a translation process?

Centralization is beneficial when you regularly translate content into multiple languages or when different departments and locations commission translations. A centrally managed translation process allows you to share terminology, translation memories, and AI-powered workflows. This ensures consistent translations, reduces duplicate work, and lowers costs over the long term.

AI & Automation

1Does Gemino also offer AI translation?

Yes. We provide companies with access to professional AI-powered translation solutions that can be integrated securely and efficiently into existing translation processes. Depending on your requirements, we either translate content directly using AI tools (NMT, LLM) or seamlessly integrate it into workflows with professional post-editing by experienced translators. The focus is not only on AI tools. The translation process as a whole determines whether and how you benefit from the advantages that AI has to offer in the translation process. It is not just about selecting the right AI solution. The combination of translation memories, terminology management, and quality assurance processes, along with integration into your system landscape, must be designed to ensure consistency, data security, and high translation quality. Gemino knows how to do this. We support you throughout the process.

2How do you determine whether human translation or AI is more suitable?

This depends on the requirements for quality, risk, speed, and cost. For internal documents or large volumes of text, an AI-assisted translation can be a sensible and adequate option. For marketing texts, technical documentation, legal content, or regulatory documents, experienced specialized translators or an AI workflow with post-editing are often the better choice. Gemino has the knowledge, expertise, and resources to find the best solution for you. We advise you on selecting the appropriate translation workflow and implementing it. We consider content, target audience, and quality requirements to achieve the best balance between quality, efficiency, and cost-effectiveness.

3When is AI translation useful – and when is it not?

AI translation is particularly suitable for content where speed and cost-effectiveness are the main priorities. For example, for urgent in-house documents used to consolidate knowledge, or more generally, for large volumes of text and content with lower quality requirements. If a high level of quality is required, a linguistic review is usually necessary to meet the requirements for terminology, style, and clarity. Especially for marketing texts, technical documentation, or content of regulatory importance, a process with a full human review of the translations may be advisable, if not indispensable. Whether and how AI provides real added value depends on the overall context. Gemino advises you on selecting suitable AI technology, orchestrates its integration, and manages the project. Together with you, we assess which translation workflow is best suited for your content. If needed, we combine AI translation with the expertise of experienced professional translators. The result is a cost-effective solution that fulfills your quality requirements.

4Which AI-powered translation workflows are available?

Depending on your quality requirements, area of application, and budget, you can now integrate AI into the translation process in various ways. While a pure AI translation may be sufficient for internal communication or rush jobs, marketing texts, technical documentation, or content subject to regulatory requirements often require an additional expert review. Gemino offers different translation workflows for this purpose. This includes classic human translation (in accordance with ISO 17100), AI-assisted translations with light or full post-editing (in accordance with ISO 18587), or purely AI-based translations. Together with you, we select the workflow that offers the optimal balance of quality, speed, and cost for your content.

5How can you ensure translation quality when using AI?

The quality of AI-assisted translations depends primarily on having the right workflow for each type of content. Depending on the quality requirements, qualified individuals should review and revise AI-generated translations. Alternatively, translators should be used from the outset, along with a revision by a second linguist. Additionally, translation memories, terminology databases, and style guides – if available – can help ensure consistent and brand-compliant results.
Gemino has the know-how to align processes, content, and quality requirements. We offer a range of translation workflows for this purpose, from pure human translation to AI-assisted processes with different levels of human quality control. Our goal is to deliver the level of quality your content requires – efficiently, cost-effectively, and reliably.

6Will our data be used to train AI models?

No. When you use AI professionally and in compliance with data protection regulations, your content will not be automatically used to train public AI models. The decisive factor is which AI solution is used and how it is configured.
Gemino sets great store on data protection and information security. By default, we use only AI solutions that treat your data confidentially and do not use it to train AI models. We are happy to advise you on choosing the right AI workflow so that you can benefit from artificial intelligence without compromising data protection, confidentiality, or compliance.

7Can you continue to use existing translation memories with AI?

Yes. Even when you use AI, existing translation memories remain part of the translation process. This includes previously approved translations and ensures that established content is reused consistently. AI complements these resources. To maximize the benefits of this combination, Gemino integrates translation memories, terminology management, and AI into smart workflows. You benefit from the following advantages: Increased efficiency through AI without compromising the quality and consistency of your existing linguistic resources. This safeguards your investments in existing translation data and delivers high-quality results, especially for technically demanding or brand-critical content.
